Notion databases are the foundation of effective business management. Let's build your first client database from scratch.
What is a Notion Database?
A Notion database is like a spreadsheet on steroids. It can display as a table, board, calendar, gallery, or list—all from the same data.
Creating Your First Client Database
Step 1: Create a New Database
- Open Notion and create a new page
- Type
/databaseand select "Table - Inline" - Name it "Clients"
Step 2: Essential Properties
Every client database needs these core properties:
Client Name (Title)
- The primary identifier for each client
- Make it clear and descriptive
Email (Email)
- Add an Email property type
- Essential for communication
Status (Select)
- Options: Active, Onboarding, Inactive, Completed
- Use colors to visualize client stages
Projects (Relation)
- Link to a Projects database
- Shows all projects for each client
Magic Link (URL)
- This will be synced by Client Facing Portals
- Your clients will use this to access their portal
Step 3: Customize Your View
- Filter: Show only "Active" clients by default
- Sort: Alphabetical by client name
- Group: By status for a kanban view
